HR & Office Administrator (50% employment)

Joining our team as HR & Office Administrator means playing a key role in one of Europe's most innovative health-tech tech companies, with the largest market adoption in the Nordics. The Office & HR Administrator adds value by overseeing daily operations for the Bucharest office of 7 employees. The successful candidate will be responsible for ensuring the smooth functioning of the office and that all administrative and operational tasks are completed in a timely and efficient manner in compliance with local laws and internal company policies.
What you will do
Office Administration
- Oversee general office operations, ensuring a clean, safe, and functional workspace;
- Manage office supplies, including inventory, procurement, and vendor relationships when the company will have its own office;
- Handle facility management tasks and liaising with landlords;
- Ensure compliance with health and safety regulations in the workplace, in collaboration with the external H&S consultant (e.g., fire drills, first aid, etc.);
- Liaise with service providers, such as accounting, banking, payroll and HR, and other services as required by the business;
- Assist with internal company events, including logistics like venue booking and catering;
- Maintain and organize office files and documentation, ensuring confidentiality where required;
- Serve as the point of contact for external vendors and service providers;
- Oversee IT hardware allocation and ensure proper functioning of office equipment (printers, phones, etc.);
- Check invoices and handle invoice processing, as per internal accounting procedures;
- Coordinate financial reporting in collaboration with the Finance Team and local accounting services provider;
HR Administration
- Maintain accurate and up-to-date employee records in the HRIS;
- Support People & Culture team with HR admin tasks, as necessary;
- Collaborate with the external local HR service provider to issue HR-related documentation, such as employment contracts, offer letters, termination documentation, employment certificates for the local employees;
- Manage local employee onboarding and offboarding processes
- Coordinate payroll preparation by ensuring accurate data is submitted to the payroll provider monthly, in a timely manner (e.g., hours worked, absences, benefits enrollment);
- Handle benefits administration, including enrolling employees, managing changes, and resolving inquiries;
- Support the recruitment processes, by booking rooms, scheduling interviews when necessary, etc;
- Act as the first point of contact for employee inquiries on local HR policies and procedures;
- Maintain and distribute employee handbooks, policies, and other HR documentation
What we are looking for
- Bachelor’s degree in human resources / administration or similar
- 3-5 years of similar experience
Location:
This role is based in our Bucharest office in the city center, with a hybrid work arrangement of 2-3 days per week in the office. This provides an exciting opportunity to work in an innovative and collaborative environment.
The role is a 50% position.
